Workspace-Wide Labels in Trello: What Actually Works in 2026

The ask, in users' own words

This isn't a niche complaint — the same request keeps landing in the Atlassian Community, year after year:

• 2021: "Is there a way to create labels on a workspace level, so that they apply to every board within them?" — a user with ~20 boards who needed uniform labels to drive Butler automations. Suggested fix: copy a card with all the labels to all 20 boards.
• 2024: "I'd like to have the same labels on all my boards." — same answer: template boards, or the card trick.
• 2025: a Premium-plan customer posts "WORKSPACE-WIDE LABELS?" — "I cannot find a way to do this… and have to manually create the same list of labels over and over again." The official Atlassian Team reply? The card-copy hack, again.

Four years, same question, same workaround. The underlying reason is structural: labels are a board-level object in Trello's data model — there is no workspace entity for them to live on. That's unlikely to change soon, so let's deal with reality.

What you can do natively (and how far it gets you)

The card-copy hack

Create a card, apply every label, copy it to each board — Trello auto-creates missing labels on arrival. It genuinely works as a one-time seeding tool, and we've written the step-by-step. Its ceiling: it's manual per board, and any later rename or new label restarts the job. With 20 boards, "one time" quietly becomes a recurring chore.

Template boards

New boards born from a template inherit its labels — good hygiene for the future, worthless for the boards you already run.

Workspace Views (Premium/Enterprise)

Worth being precise about, because it sounds like the fix and isn't: Workspace Views let you see and filter cards across boards, including by label. But the filter matches label names literally — it can't know that "Urgent", "urgent!" and "URGENT" are the same intention on three boards. Workspace Views don't create workspace labels; they reward you if your labels are already consistent, and punish you if they've drifted.

The working answer: one source board, synced everywhere

Since Trello won't hold a workspace-level label set, the practical move is to designate one board as the canonical set and keep every other board matched to it automatically. That's exactly the model of Just Another Label Sync:

1. Pick a source board. Many teams create a small "Label Master" board that exists purely to hold the canonical labels — nobody works on it, so nobody renames things by accident.

Safety matters when you're overwriting the label landscape of a whole workspace, which is why the sync is additive-only by default: teammates' local labels are never deleted unless you explicitly turn deletion on, and even then you get a preview of the removals first. Multiple sync groups are supported too — each source board rules its own set of targets, so internal boards and client boards can follow different standards.

The Butler connection (why this unblocks automation)

Remember the 2021 poster who wanted uniform labels across 20 boards specifically for Butler? That's the deeper point: Butler rules that add, remove or trigger on a label silently depend on that label existing — with that exact name — on every board where the rule should run. Butler itself can't create or copy labels, so consistent labels are the prerequisite it can't provide for itself. Sync the labels, and the same Butler rules finally behave identically everywhere.
