Email supportYes. Gmail access is used only to show your mail inside Trello, send the replies you write, and create the cards you ask for — it never posts, deletes, or shares anything on its own, and you can disconnect anytime. Email contents aren’t stored on our servers: the card holds a reference and loads the message from Gmail when someone allowed to read it opens the card. And when an email becomes a card, it stays visible only to you: the rest of the board can’t read it or even see it’s attached, unless you grant specific people access.
Gmail and Google Workspace accounts, through Google’s official secure sign-in. You can connect as many as you need — work, support, personal — and switch between them in a click, without signing out. Outlook and other IMAP providers aren’t supported.
Yes. One person connects the mailbox, then grants teammates access — per card or for the whole mailbox — as read only, read and reply, or reply and compose. Someone with reply access answers from the shared mailbox without ever connecting it themselves. That’s a proper shared inbox on a Trello board, with no forwarding addresses and no extra licences.
Two things, both only when you ask. Suggest reply writes a first draft using the company context and reply guidelines you set per board and mailbox, in the same language as the message you’re answering — then you edit and send it. Summarize turns a long thread into a 2–3 line recap. The relevant messages are sent to Google’s Gemini to generate the text; nothing is drafted or sent in the background. The only automatic message is auto-reply, and that sends a template you wrote.
Yes — Email Inbox is fully two-way. Read the whole thread and send replies (properly threaded, from your own Gmail, saved to your Sent folder) from the reader or right from the card back. You can also write a brand-new email from a card, attach files, and schedule a message for later. When someone replies, the card shows a “New email” badge and updates itself. Automations work the same way in reverse: pick a Gmail search such as from:support@ is:unread and a destination list, and matching new mail becomes cards on its own.
Yes. Give an automation a target — say, respond within 4 hours — plus your working days, hours and timezone, and every card it creates tracks its own clock in business hours. The card badge turns amber as time runs out and red once a reply is overdue, and you can mark a card as “no reply needed”. The Reports tab then shows first-response average, median and 90th percentile, time to resolved, volume per day, busiest hours, and a breakdown per list and per person — for 7, 30 or 90 days, exportable to Excel.
